Introduction

KPCIRC (“we”, “us” or “our”) respects the privacy of visitors and of people who contact us. This notice explains how information may be collected and used through the KPCIRC website and the enquiry or service pathways described on it. It should be read alongside any specific consent or notice presented when you use a service.

1. Who is responsible

This website is operated by Kwatra Precision Cancer Institute & Research Centre (KPCIRC), A8, Shubham Enclave, Paschim Vihar, New Delhi 110063, India. For privacy questions or requests, use the contact page and choose “Media or other”, or write to us at the address above.

2. Information we may collect

Depending on how you interact with us, information may include contact details, organisation and professional role, enquiry text, the service pathway selected, technical website data and preferences. Website forms are designed not to collect clinical records, report contents or patient identifiers. Clinical records and genetic information are collected only where necessary for a requested service and only through an approved secure channel.

3. How this website currently handles information

  • Audience preference: if you choose an audience pathway (for example “Doctors”), that single word is stored in your browser’s local storage to tailor navigation. It is not sent to KPCIRC and is not linked to your identity or health. You can clear it at any time with “Show everything” in the audience menu, or in your browser settings.
  • Enquiry forms: when connected, form submissions are sent to KPCIRC’s customer relationship management system (HubSpot) to respond to your enquiry. Forms ask you not to include medical records or identifiers.
  • Analytics and cookies: no analytics, advertising pixels or third-party tracking cookies are loaded by this website at present. If that changes, this notice and a consent control will be updated first.
  • Fonts and images are served from the website itself; no third-party font service is called.

4. Purposes of processing

Information may be used to respond to an enquiry, assess service suitability, organise a requested review, communicate about a referral, manage an institutional discussion, maintain records, protect the website and meet legal obligations, where a lawful basis and appropriate controls exist.

5. Sensitive clinical information

Please do not submit identifiable clinical documents through any website form. Website forms do not accept file uploads. Where a requested service needs clinical records, reports or genetic information, KPCIRC will explain the secure route for sharing them, who will be able to access them, how they will be shared with reviewers or institutional partners involved in that service, and how long they will be kept, before anything is shared.

6. Sharing

Information may be shared with authorised clinicians, reviewers, service providers or institutional partners only as necessary for the stated purpose, under documented responsibilities and safeguards. Enquiry forms are processed by our customer relationship management provider, HubSpot, which may store information on servers outside India under its own data-protection commitments. We do not sell personal information.

7. Storage, security and retention

This website is served over an encrypted (HTTPS) connection. Access to enquiry information is limited to people who need it to respond to you or to provide a requested service. We keep enquiry information only for as long as it is needed for that purpose and for reasonable record-keeping, and then delete or anonymise it. We do not claim any certification beyond what is stated here.

8. Your rights and requests

You may ask to access or correct the personal information we hold about you, withdraw consent where processing is based on consent, or raise a grievance, in line with the Digital Personal Data Protection Act, 2023 and the rules that apply to us. Send your request through the contact page or to the address above. We will acknowledge it and respond within the time required by law.

9. Children and representatives

Our website and services are not directed at children. Enquiries about a person under 18, or about someone who cannot act for themselves, should be made by a parent, guardian or authorised representative, who confirms their authority when submitting the enquiry.

10. Changes

We may update this notice to reflect changes to the website or services. The effective date will be updated when a new version is published.
